This privacy collection notice applies to anyone applying for or receiving a scholarship at the University of Sydney.

Personal information we collect directly from you

When you apply for a scholarship, we will collect your personal information including (but not limited to):ÌýÌý

  • Your name and contact details
  • Date of birth
  • Domestic or international student status
  • Current student status and University of Sydney Student ID
  • Educational qualifications and attainments
  • High school completion date and name of school (undergraduate students only)
  • UAC application information and ID (undergraduate students only)
  • Year of intended commencement and if you intend to defer your admission.Ìý

We may also collect information to verify your eligibility for a scholarship. Depending on the scholarship criteria this may include:

  • Confirmation of academic merit and evidence of education qualifications and attainments
  • Your CV and if applicable, personal statements to support your application, including potentially education impact statements or medical impact statements
  • Evidence of financial hardship for equity-based scholarships
  • Confirmation of Aboriginal and Torres Strait Islander identity for identified scholarships
  • Evidence of culturally and linguistically diverse background
  • Evidence of Australian visa class type and visa status
  • Health information
  • Information about gender and sexual identity.

You are not required by law to supply us with your personal details for the above purposes, however, if you choose not to provide the information requested, it may not be possible for the University to consider you for a scholarship.Ìý

If you are successful in being awarded a scholarship, during the period you hold your scholarship we will collect information to monitor your ongoing eligibility for your scholarship and to manage any leave and temporary scholarship suspension processes you initiate.Ìý

Personal information we collect from third parties

During the scholarship application process, we may receive information about you from authorised third parties if you nominate your interest in the University of Sydney with them.Ìý

If you are an undergraduate domestic student and have registered with the University Admissions Centre (UAC) and nominate interest in University of Sydney programs, we will receive a range of personal information about you from UAC, including your name, email address, study intentions and interests, geographic location and demographic information as well as relevant supporting documentation where required, to support your application and assessment for potential scholarship opportunities.ÌýÌý

For certain scholarships we may also collect references or personal statements from referees you nominate.Ìý

How we use your personal information

Your information will be used by University staff members responsible for the administration of the scholarship processes to:Ìý

  • review and assess your eligibility for the scholarshipÌý
  • correspond with you and inform you about the outcome of your scholarship application
  • provide you with requested information and services
  • advise you of scholarship opportunities
  • if you are successful in your application, document your acceptance of the scholarship and relevant terms, process your scholarship payments, and confirm your ongoing scholarship eligibilityÌý
  • undertake analysis and surveys to help us better understand the needs and preferences of applicants and students
  • perform quality assurance and planning for our scholarship processes
  • prevent or detect fraudÌý
  • comply with legislative requirements.

Personal information we share with third parties

Personal information contained in scholarship applicationsÌýwill be used by the University for the purposes of assessing eligibility, administering,ÌýmanagingÌýand awarding scholarships.

As part of the assessment and administration process for some donor orÌýexternally fundedÌýscholarships, the University may share and disclose limited personal information to relevant third parties,Ìýincluding name, degree program, and confirmation of their ongoing eligibility to receive the scholarship, where necessary and in accordance with applicable privacy legislation.

Where required for assessment or verification purposes, the University mayÌýdiscloseÌýpersonal information to externalÌýorganisationsÌýsuch as former employers, secondary schools, other tertiary education institutions, and tertiary admission centers (including the Universities Admissions Centre (UAC)) to verify qualifications, experience, or professional standing.

If you apply for a donor or externally funded scholarship, the University mayÌýdiscloseÌýlimited personal information to the donor or external funder for assessment purposes, such as your name, degree program, and information relevant toÌýdeterminingÌýyour eligibility for the scholarship,Ìýin accordance withÌýapplicable privacy legislation.

Depending on the scholarship requirements, it may also be necessary toÌýdiscloseÌýpersonal information to government agencies, including Services Australia, the Department of Education, Skills and Employment, the Department of Home Affairs, the Department of Foreign Affairs and Trade, and the Australian Taxation Office.

The University will not otherwise use orÌýdiscloseÌýyour personal information without your consent unlessÌýrequiredÌýorÌýauthorisedÌýby law.

How we store and secure your information

Your personal information is recorded in the University's student system and in its scholarship management environments.Ìý

The University has security measures in place to safeguard personal information from misuse, and unauthorised access, use, modification or disclosure, including those in the University’s Cyber Security Policy 2019  a²Ô»å Acceptable Use of ICT Resources Policy 2019 . We retain your personal information in accordance with our Recordkeeping Policy 2017.

If your Scholarship application is unsuccessful, your personal information will be retained for a short period of time in line with our legal and business obligations. We dispose of personal information securely and retain personal informationÌý safely and securely, in accordance with our Recordkeeping Policy 2017 and in accordance with the . â¶Ä¯Ìý
